AI Agents for
Tax Reconciliation

The ledger balance and the return are prepared by different people from different data. A difference is the normal state.

Key takeaways
  • The ledger balance and the return are prepared by different people from different data at different times, so a difference is normal and the work is deciding which ones matter.
  • The difference nobody can explain is the one that gets plugged, because a deadline is always closer than an explanation.
  • A tax exception list is only useful once the items a rule can settle are separated from the items that need a position.
  • Missing tax codes, wrong rates and blocked category recoveries are all rule settled. Substance is a judgement and no system should present it otherwise.
  • The same tax finding costs four different amounts depending only on when it surfaces, which is why continuous testing beats a preparation window.

AI agents for tax reconciliation classify every difference between the ledger and the return by cause, separate the exceptions a rule can settle from the ones needing a position, and run continuously against the filing calendar. ChatFin reports unexplained differences separately rather than letting them net into rounding.

Two things make this work expensive. Differences are treated as one undifferentiated list when most are timing and need nothing at all, and the unexplained residue gets plugged because the deadline arrives first. ChatFin does the classification, so the only items reaching a person are the ones that genuinely need a decision.

The tax account and the return are two different stories

A tax reconciliation ties the balance in the ledger to what was filed. The two are prepared by different people from different data at different times, so a difference is the normal state rather than the exception, and most of the work is deciding which differences matter.

DifferenceIs it a problemWhat it needs
Timing between the period and the returnNoA stated cut off
A payment posted to the wrong periodYes, in the ledgerA reclassification
An adjustment made on the return onlyYesA matching journal
A prior period correctionDependsTracing to the original
Rounding across many linesNoNothing
A difference nobody can explainYes, definitelyInvestigation, not a plug

The last row is the one that gets plugged, because a deadline is closer than an explanation. ChatFin classifies each difference and reports the unexplained separately rather than letting it disappear into a rounding line.

02

Exception identification is about knowing which questions have answers

A tax exception list is only useful if it separates the items a rule can settle from the items that need a judgement. Mixing them means the whole list is treated as judgement, which is why it takes so long.

A missing tax code. A rule settles it. The vendor, the category and the jurisdiction determine the answer.
A rate that does not match the jurisdiction. A rule settles it, and it is usually a configuration fault rather than a decision.
A recovery claimed on a blocked category. A rule settles it. Entertainment and certain vehicles are enumerated, not argued.
Whether a supply is exempt or zero rated. Sometimes a rule, sometimes a position. The two need separating before either is worked.
Whether an arrangement has substance. A judgement, and no system should present it as anything else.

ChatFin settles the first three before a person sees the list, and labels the last two as requiring a position rather than scoring them.

03

The filing calendar is the actual constraint

Tax work is unusual in finance because the deadline is external and immovable. That changes which problems are expensive, and it is rarely reflected in how the work is prioritised.

FoundCost
Two months before filingA correction
A week before filingOvertime and a rushed decision
After filingAn amended return
After an assessmentInterest and penalties
NeverAn exposure carried indefinitely

The same finding costs four different amounts depending only on when it surfaces. ChatFin runs the reconciliation and exception tests continuously against the filing calendar rather than in the preparation window, which is the only lever that moves an item up this table.

04

Where this underperforms

Three.

Returns are prepared outside the ledger. Where the return is built in a spreadsheet from an export, reconciling to it means reconciling to a file rather than to a system, and version control becomes the first problem.
Positions are not documented. If the reason a treatment was chosen exists only in somebody's memory, a difference cannot be classified as intentional and will be reported as unexplained. That is correct behaviour and it will look noisy at first.
A single simple jurisdiction. Where there is one return and few transactions, this is a checklist rather than a system, and saying so is more useful than implementing anything.
Start by classifying the differences in your last four tax reconciliations. It uses data you already have and it shows how much of the balance was plugged rather than explained.

Questions tax and finance teams ask first

Should the tax account tie exactly to the return?

Not usually, and expecting it to is part of the problem. Timing between the period and the return, and rounding across many lines, both produce differences that need nothing. What matters is separating those from a payment posted to the wrong period, an adjustment made on the return only, and anything nobody can explain. ChatFin classifies them.

Why do tax exception lists take so long to work?

Because rule settled items and judgement items are mixed together, so the whole list gets treated as judgement. A missing tax code, a rate that does not match the jurisdiction and a recovery on a blocked category are all determined by rules. ChatFin settles those before anybody sees the list.

Why does timing matter more in tax than elsewhere?

Because the deadline is external and immovable. The same finding is a correction two months out, a rushed decision a week out, an amended return afterwards, and interest and penalties after an assessment. ChatFin runs the tests continuously against the filing calendar rather than during the preparation window.

How ChatFin works on tax reconciliation

Classify the difference, do not plug it.

ChatFin classifies every difference between the tax accounts and the returns by cause, and reports the unexplained ones on their own.

Rule settled exceptions are resolved before a person sees the list, and items needing a position are labelled as such rather than scored.
