# Stampli Alternatives
 for Accounts Payable

Both approaches attack the back and forth an invoice generates. One makes the conversation faster, the other removes the need for it.

      Key takeaways

- Stampli's distinctive claim is architectural: communication about an invoice lives on the invoice rather than in email.
- Their automation layer, Billy the Bot, suggests coding and routing while their stated position keeps approval and payment decisions with a person.
- That position matches ChatFin's, and for the same reason: approval and payment are the two decisions where being wrong is expensive and irreversible.
- The two approaches attack the same cost from opposite ends. One speeds up the conversation, the other resolves the lookup so the conversation is not needed.
- The diagnostic is your own exception queue. Mostly questions to people favours a collaboration tool; mostly questions to systems does not.

Stampli builds accounts payable around the invoice, putting the conversation between accounts payable, approvers and vendors directly on the document. This page sets out what they publish, where an agent approach differs in substance, and how to tell which shape fits your team. No head to head benchmark exists and this page does not invent one.

The honest framing is that both are attacking the coordination cost of an invoice and choosing opposite routes. Stampli makes asking the question fast. ChatFin answers the question from the ledger, the orders and the payment history before it needs to be asked. Which is right depends on whether your exceptions are questions to people or to systems.

## What Stampli is, in their own description

Stampli's distinctive claim is architectural rather than functional. They centre the product on the invoice itself, putting communication between accounts payable, approvers and vendors directly on the document, so the conversation about an invoice lives with the invoice rather than in email. Their automation layer is branded Billy the Bot.

| What Stampli publishes | How to read it |
| --- | --- |
| Communication layer on each invoice | The differentiator they lead with |
| Billy the Bot for capture and coding | Coding suggestions, not autonomous posting |
| Approval routing | Workflow, configured per organisation |
| Duplicate detection | Included in the automation layer |
| Humans keep approval and payment decisions | Their stated position, not a limitation |

That last row is worth taking seriously rather than reading as hedging. Keeping approval and payment with a person is the same position ChatFin takes, and for the same reason: those are the two decisions where being wrong is expensive and irreversible.
 In ChatFin
ChatFin holds the same line. Proposals are released by a person, because the payment run is the last reversible point in the process.

  02
## Collaboration on the invoice, against lookup before the invoice moves

Both approaches are trying to remove the same cost, which is the back and forth an invoice generates. They attack it from opposite ends.

| The problem | Stampli's stated approach | ChatFin's approach |
| --- | --- | --- |
| Nobody knows who should approve | Ask on the invoice | Validate the approver against people data |
| The coding is unclear | Suggest, then discuss | Propose from the vendor's own precedent |
| A vendor is chasing payment | Loop them into the thread | Answer from the ledger |
| The match failed | Discuss the exception | Sum partial receipts, normalise units, then escalate |
| It is a duplicate | Flag it for the team | Match on bank details and the vendor document |

Making a conversation faster and removing the need for the conversation are both valid. The second only works where the answer is genuinely determinate, which is most but not all of the cases above. Where it is not, a good conversation layer is worth having.

*One approach speeds up the conversation. The other removes the need for it.*

In ChatFin
ChatFin resolves the lookups before an exception is raised, so what reaches a person is the set that genuinely needs a decision rather than a question with a findable answer.

  03
## When each one fits

Plainly.
**Stampli fits** a team whose accounts payable pain is genuinely coordination: approvers scattered across departments, a lot of non purchase order spend where somebody has to be asked, and an existing culture of resolving things by discussion.**ChatFin fits** a team whose pain is retrieval: the answer exists in the ledger, the orders or the payment history, and the cost is finding it. It also fits where every finding has to be traceable for audit.**They are not mutually exclusive in principle.** A conversation layer and a lookup layer solve different halves. Whether running both is worth two tools is a budget question rather than a technical one.
The diagnostic is your own exception queue. If it is mostly questions to people, a collaboration tool is the right shape. If it is mostly questions to systems, it is not.

  04
## What we have not verified

The volume and time saving figures Stampli publishes are their own. This page does not repeat them as findings and no head to head benchmark between Stampli and ChatFin exists.
**Third party review scores vary by source** and by the segment of customer reviewing, so a single score is weak evidence either way.**Pricing is not published by either party** in a form that supports a like for like comparison.**The collaboration claim is architectural** and hard to test in a demonstration. It is best assessed by asking existing customers whether email traffic actually fell.In ChatFin
ChatFin publishes no comparison benchmark against Stampli because none has been run. Claims that are theirs are marked as theirs.

## Questions buyers ask first

What makes Stampli different from other AP tools?
Their own answer is the communication layer: comments, questions and approvals sit on the invoice itself rather than in a separate email thread, so the history of a decision stays attached to the document. The automation layer, Billy the Bot, handles capture, coding suggestions, routing and duplicate detection.
Does Stampli post to the ledger automatically?
Their published position is that people keep approval and payment decisions. That is the same position ChatFin takes, and it is a reasonable one rather than a limitation: the payment run is the last point at which anything can be stopped, and after it recovery depends on a counterparty cooperating.
How do we tell which approach we need?
Read your own exception queue. If it is mostly questions that need a person to answer, which approver, which project, was this agreed, then a collaboration layer is the right shape. If it is mostly questions a system can answer, which receipt matches, was this already paid, what did we code this vendor to before, then it is not.

How ChatFin works on accounts payable

## Answer the question before it is asked.

ChatFin resolves the lookups against orders, receipts, payment history and coding precedent before an exception is raised.

What reaches a person is the set that genuinely needs a decision, with the records behind it attached.

**Bring one month of exceptions and see how many were lookups.**
