AI for Revenue Contracts
and ARR

A schedule that starts a month early is barely wrong in month one and materially wrong by the time anyone looks at year end.

Key takeaways
  • Everything here depends on a contract key that survives an amendment, a credit and rebill, a renewal and a billing migration. Where the key breaks, the reconciliation cannot close and no modelling fixes it.
  • In a worked pass over 412 live contracts, 38 did not agree with their own terms. 25 were mechanical corrections and 13 needed a revenue accountant. All 38 were found in one pass.
  • Track how long an exception existed before it was found, not how many exist. A population found monthly is a control. The same population found annually is a restatement risk.
  • The cheapest control in revenue accounting is the count of revenue lines hitting a default account each period. It should be near zero and it almost never is.
  • ChatFin builds both the sales and finance ARR populations from the same contract set and reports the bridge. It applies the definition you document rather than choosing one.

AI for revenue contracts and ARR means an agent that reconciles every live contract to what was actually billed and recognised, monitors recognition schedules against the contract dates each period, recomputes what the documented revenue rule should have produced, and builds both the sales and the finance ARR populations from the same contract set. ChatFin produces the exception list. A revenue accountant decides what each exception means.

One thing has to be true before any of it works. The contract identifier has to survive an amendment, a credit and rebill, a renewal and a migration between billing systems. Where that key breaks, a reconciliation still runs and still produces a stable number, and the number is wrong in a way nobody can see. That is why ChatFin reports the traceable share of the contract population before it reports anything else.

What a contracts and ARR agent does

It keeps the contract, the transactions and the recognition schedule agreeing with each other, every period, without anyone reading 400 documents. Three jobs, and none of them is deciding the accounting.

Reconcile contract to transaction. For every live contract, compare what was billed and recognised against what the contract says should have been, and list the ones that do not agree.
Monitor the schedules. Recognition that has not started when it should have, has run past the term, or stalled on an obligation nobody marked as met.
Validate the rules. Recompute what the documented revenue rule would have produced and compare it to what actually posted.
Build both ARR views. The sales population and the finance population from the same contract set, with the bridge between them.
In ChatFin

ChatFin produces the exception list with the clause and the ledger row side by side. Whether a modification is a separate contract, and how a discount is allocated, are judgements for a revenue accountant.

02

The contract key is the whole game

Everything on this page depends on one thing: an identifier that survives an amendment, a credit and rebill, a renewal and a migration between billing systems. Where that key breaks, the reconciliation cannot close and no amount of modelling fixes it.

EventWhat usually happens to the keyConsequence
An amendment is signedA new order form, same contractFine, if the amendment references the parent
A credit and rebillA new contract identifier is createdThe link to the original arrangement breaks and revenue can defer twice
A renewalOften a new contract entirelyRetention and ARR continuity both break unless the parent is recorded
A migration between billing systemsKeys are regeneratedHistoric reconciliation becomes impossible without a crosswalk
An entity reorganisationContracts are reassignedThe revenue moves and the trend looks like churn
Before evaluating any revenue AI tool, run one test. Take twenty contracts that were amended in the last year and check whether you can trace each one back to its original arrangement in a single query. If you cannot, that is the project, and it comes first.
In ChatFin

ChatFin reports the share of the contract population it can trace end to end before it reports anything else. A reconciliation built on a broken key produces a stable, wrong answer.

03

A worked contract to transaction reconciliation

412 live contracts. The agent rebuilds what each one should have billed and recognised in the period from the contract terms, compares it to what posted, and returns 38 that do not agree.

ExceptionContractsWhat the evidence shows
Amendment signed, revenue arrangement never rebuilt11Order form dated in the period, schedule unchanged
Recognition started before the service did8Schedule start earlier than the service start on the order form
Billing stopped, recognition continued6Last invoice two periods ago, schedule still running
Credit and rebill created a second contract5Original credited, new identifier, both arrangements live
Usage billed outside the contracted rate card4Invoice rate differs from the rate card on file
Term expired, recognition still running4End date passed, no renewal document on file

Twenty five of the 38 are mechanical corrections with a clear answer. The other 13 need a revenue accountant, and three probably need a conversation with the commercial team. The value is that all 38 were found in one pass rather than four of them being found in a quarter.

Every exception here comes down to a signed document disagreeing with a system record.
04

Monitoring schedules before they become restatements

Recognition errors compound quietly. A schedule that starts a month early is 1/36th wrong in month one and materially wrong by the time somebody notices at year end.

1

Test every schedule against its contract dates each period

Start, end, and the obligation that triggers recognition. This is cheap to run and almost never run.

2

Flag schedules with no billing behind them

Recognition continuing after billing stopped is either a contract nobody cancelled in the system, or revenue being recognised that will not be collected.

3

Flag obligations marked met with no evidence

Where recognition depends on delivery or acceptance, an obligation ticked with no supporting document is the audit finding waiting to happen.

4

Report the aggregate exposure, not just the count

Thirty eight exceptions means nothing to a controller. Thirty eight exceptions carrying 640,000 of misstated deferred revenue means something.

The metric worth tracking is how long an exception existed before it was found, not how many exist. A population found monthly is a control. The same population found annually is a restatement risk.
05

Rule validation, because nothing breaks when it goes wrong

A misapplied revenue rule does not throw an error. The total still ties, the close still completes, and the problem only appears when somebody runs a segment report for the board.

The rule and the posting disagree. The rule says professional services, the posting went to subscription revenue because the item master carries an old mapping. Both are internally consistent.
A new product has no rule. It falls to a default account, usually the largest one, where it is invisible.
The rule changed mid year with no restatement. The trend line is an artefact of the rule rather than of the business.
The disclosure categories are maintained separately. The disaggregation of revenue note uses a grouping nobody updates between reporting dates.
The cheapest single control in revenue accounting is the count of revenue lines hitting a default or catch all account each period. It should be near zero. It almost never is, and that one number tells you whether the classification rules are being maintained.
In ChatFin

ChatFin recomputes what the documented rule would have produced and reports only the differences, plus any item that appeared in the period with no rule attached to it yet.

06

Two ARR numbers, one bridge

Sales ARR counts what was booked. Finance ARR counts what is contracted and live. Both are right and the argument is permanent unless somebody builds the bridge.

ItemSales viewFinance view
Signed on the last day of the periodInIn, at zero recognised
Signed, service not startedInOut until the obligation starts
Customer in a cancellation notice periodIn until it lapsesOut of forward ARR
One off implementation feeOften inOut, it is not recurring
Index linked uplift not yet publishedEstimatedOut, it is variable consideration
Multi year deal with a rampYear one valueCurrent contracted rate

The count of contracts in each reconciling category is usually more useful than the value, because it tells you which process is leaking. Eleven contracts sitting in signed but not started for three months is an implementation problem wearing a revenue costume.

In ChatFin

ChatFin builds both populations from the same contract set and reports the bridge line by line. It does not choose an ARR definition for you, it applies the one you document.

07

Where a contracts agent underperforms

Three, and all three are prerequisites rather than outcomes.

Contracts are not in one place. Signed documents spread across a CRM, a drive and a mailbox give partial extraction coverage, and partial coverage in revenue is worse than none because it looks complete.
The contract key does not survive amendments. The reconciliation cannot close and the agent keeps reporting the same population as unexplained.
Policy is not written down. An agent applies a policy consistently. It cannot choose one. Where the treatment of evergreen renewals or index linked uplifts has never been documented, people decide that first.
In ChatFin

ChatFin is additive to a revenue subledger rather than a replacement. Where Advanced Revenue Management or Revenue Management Cloud already holds the schedule, ChatFin reconciles to it and explains the differences.

Questions revenue teams ask first

What should be checked before buying a revenue AI tool?

Whether your contract key survives an amendment. Take twenty contracts amended in the last year and see whether each traces back to its original arrangement in one query. Credits and rebills are the usual break, because they create a new contract identifier and the link to the original is lost, which is how the same revenue can defer twice. ChatFin reports the traceable share of the population first, because a reconciliation on a broken key gives a stable wrong answer.

How does an agent find revenue recognition errors?

By recomputing what each contract should have billed and recognised from its own terms and comparing that to what posted. In a worked pass over 412 live contracts, 38 disagreed: amendments never rebuilt in the subledger, schedules started before the service did, billing stopped while recognition continued, and terms expired with recognition still running. ChatFin attaches the clause and the ledger row to each one so the review is a decision rather than a search.

Why do sales and finance never agree on ARR?

Because they answer different questions and both are right. Sales counts what was booked, finance counts what is contracted and live, and they differ on deals signed but not started, customers in a notice period, one off fees and index linked uplifts. ChatFin builds both populations from the same contract set and reports the bridge. The count of contracts in each reconciling category is usually more useful than the value, because it shows which process is leaking.

How ChatFin works on revenue contracts

38 exceptions found in one pass, not four found in a quarter.

ChatFin rebuilds what every live contract should have billed and recognised from its own terms, compares that to the ledger, and attaches the clause and the posting to each exception.

It monitors schedules against contract dates every period, recomputes the documented revenue rules, and reports aggregate exposure rather than a count. It posts nothing.

Bring one period of contracts and the deferred revenue balance you could not explain. The comparison takes an hour.
