# AI for Revenue Accounting:
 ASC 606 and Contracts

Deferred revenue moved by an amount nobody can explain from the roll forward. That question is a contract level reconciliation, and it is the one worth giving to an agent.

      Key takeaways

- A revenue accounting agent does two jobs. It extracts the recognition terms out of the signed contract with a page citation, and it reconciles those terms to what the subledger and the ledger actually did.
- The expensive question at close is which of three systems is right. CRM, billing and the revenue subledger diverge the moment a deal is amended, and the general ledger is the last place the problem shows.
- A billing to revenue gap is usually several dozen contracts each off by a little, not one large error, which is why it survives an account level reconciliation and needs a contract level one.
- Four contract patterns break automated recognition. Modifications, bundled discounts, evergreen renewals and index linked uplifts. All four are judgements and none of them should be made by a model.
- ChatFin extracts, cites the clause and the page, shows both sides of every exception, and prepares the correcting journal for a named person to release. It posts nothing on its own.

AI for revenue accounting means an agent that reads the signed contract, pulls the terms that drive recognition with a page citation for each one, compares them to the revenue arrangement actually built in the system, and reconciles billing to revenue at contract level rather than at account level. It does not set policy and it does not post. ChatFin runs this against NetSuite Advanced Revenue Management, SAP, Oracle Fusion Revenue Management Cloud and Sage Intacct contracts.

The work it removes is specific. When deferred revenue does not tie to the roll forward, somebody has to rebuild the movement contract by contract and find the amendments nobody applied, the credit and rebill that created a second contract identifier, and the schedules that started before the service did. That is a search problem, and it is the part of the revenue close that runs past the deadline.

## What a revenue accounting agent actually does

It reads contracts and it reconciles them to what the ledger did. Those are two different jobs and most tools only do the second. A revenue agent extracts the terms that drive recognition out of the signed document, compares them to how the contract was set up in the ERP, and raises the difference to a revenue accountant. It does not decide the accounting policy and it does not post.
**Read the contract.** Pull the performance obligations, the term, the billing schedule, the renewal and termination clauses, and any variable consideration, with a page reference for each one.**Compare to the setup.** Check what was extracted against the revenue arrangement actually built in the system, and list every field where they disagree.**Reconcile billing to revenue.** Tie the billing system to the subledger to the general ledger, and explain the difference rather than reporting that one exists.**Watch the schedules.** Flag recognition that has not started when it should have, has run past the term, or stalled on an unmet obligation. In ChatFin
ChatFin drafts the exception list with the contract clause and the ledger row side by side. A revenue accountant decides which is right, because that is an accounting judgement and not a matching problem.

  02
## Where the revenue close actually loses time

Not in the calculation. In finding out which of three systems is telling the truth. A subscription business running a CRM, a billing engine and an ERP has three versions of the same contract, and they diverge the moment a deal is amended.

| System | What it holds | How it drifts |
| --- | --- | --- |
| CRM | The booking, the order form, the amendment | Sales closes an amendment and nobody rebuilds the revenue arrangement |
| Billing engine | The invoice schedule and what was actually billed | A credit and rebill changes the invoice history without changing the contract |
| ERP subledger | The revenue arrangement and the recognition schedule | Built once at booking, then only touched when someone notices |
| General ledger | The posted revenue and deferred balance | Correct by construction, which is why it is the last place a problem shows |

The month end question is always the same. Deferred revenue moved by an amount nobody can explain from the roll forward. ChatFin answers that by rebuilding the roll forward from the contract level and naming the contracts that do not tie.

A billing to revenue difference is rarely one large error. It is usually several dozen contracts each off by a small amount, which is exactly the shape of problem that a person cannot work through by hand before the close deadline and an agent can.

  03
## Where the numbers come from, by system

Revenue lives in a subledger in most systems, and the subledger is where an agent has to read. These are the objects ChatFin reads through published interfaces.

| System | Read path | What revenue accounting pulls |
| --- | --- | --- |
| NetSuite | SuiteQL and SuiteTalk REST | Advanced Revenue Management records, the revenue arrangement, the revenue element and the revenue recognition plan behind each element |
| SAP | RFC enabled BAPIs and the ledger tables | Revenue Accounting and Reporting contracts and performance obligations, and the ledger lines they post. Confirm which revenue accounting release you run |
| Oracle Fusion | REST, with FBDI for file based loads | Revenue Management Cloud contracts, performance obligations and the satisfaction events behind each one |
| Sage Intacct | The Web Services API | Contract lines and the revenue schedules generated from them |
| Billing engines | The vendor REST api | Invoice lines, credits and rebills, keyed back to the contract identifier |

Two rules make the read reliable. Everything is keyed on a contract identifier that survives an amendment, and posted, unposted and reversed documents are kept apart. Most wrong revenue numbers come from including a document class the person asking did not mean.
 In ChatFin
Where the contract identifier does not survive an amendment, the reconciliation cannot be automated end to end and ChatFin says so. Fixing the key is a data job that has to happen before the agent is worth running.

  04
## A worked reconciliation, 214,000 of unexplained deferred

Deferred revenue opens at 4,812,000, closes at 5,026,000. Billings were 2,140,000 and recognised revenue was 1,712,000, so the roll forward says the balance should have moved 428,000. It moved 214,000. Here is the difference, rebuilt at contract level.

| Cause | Amount | Contracts | Evidence |
| --- | --- | --- | --- |
| Amendments never rebuilt in the subledger | 118,000 | 9 | Order forms signed in the period, revenue arrangement unchanged |
| Credit and rebill treated as a new contract | 61,000 | 4 | Original invoice credited, new invoice on a new contract identifier |
| Recognition started before the obligation was met | 27,000 | 6 | Schedule start date earlier than the service start date on the order form |
| Manual journals posted direct to deferred | 12,000 | 3 | Journals with no contract reference in the line description |
| Rounding across the schedule population | negative 4,000 | n/a | Aggregated, no single item above 200 |
| **Total** | **214,000** | 22 |   |

The reconciliation to 214,000 is the control. The 22 contracts are the work list. ChatFin produces that list with the clause and the ledger row attached to each one, so a revenue accountant is deciding rather than searching.

The second line is the one worth arguing about. A credit and rebill that creates a new contract identifier breaks the link back to the original arrangement, and unless someone catches it the same revenue can be deferred twice. It is invisible to a system that reconciles at account level.

  05
## The contract patterns that break automated recognition

Four of them, and a revenue accountant will recognise every one.
**The amendment that is a modification, not a new contract.** ASC 606 treats a modification adding distinct goods at stand alone selling price differently from one that does not. Get it wrong and the correction is a cumulative catch up in a period nobody expected it.**The bundled discount.** A discount given on the whole order has to be allocated across performance obligations by relative stand alone selling price. Sales rarely records which line the discount was really against.**The evergreen renewal.** A contract that renews automatically until cancelled has a term the document does not state. The recognition period is a judgement, and it needs to be a documented one.**The pass through price increase.** A contractual uplift tied to an index is variable consideration until the index publishes. Booking it as fixed at signature overstates early periods.

*Every one of these is decided from the signed document, which is why the extraction step has to carry a page reference.*

In ChatFin
ChatFin extracts and cites. It does not classify a modification for you. The output is the clause, the page, the current treatment in the system and the question, and a revenue accountant answers it.

  06
## The controls that make this auditable

An agent in revenue accounting is only useful if the auditor can follow it. Four things make that true, and they are cheap to build in at the start and expensive to retrofit.
 1
### Every extracted term carries a citation

The document, the page and the clause. An extraction with no citation is an assertion, and an assertion cannot be tested.
 2
### Every exception carries both sides

What the contract says and what the system holds, in the same row. The reviewer should never have to open two windows to judge one difference.
 3
### Every decision is recorded with a name

Who accepted the extraction, who overrode it, and the reason. This is the evidence trail, and it is what the auditor asks for first.
 4
### Nothing posts without approval

The agent prepares the correcting journal and a person releases it. ChatFin writes back through governed interfaces only, and only after a named approval.

Ask any revenue AI vendor one question. When the auditor asks why this contract was recognised over 36 months, what does the system show them? If the answer is a model output rather than a clause and a page, it will not survive the audit.

  07
## ARR, and why finance and sales never agree on it

Because they are measuring different things and both are right. Sales ARR counts what was booked. Finance ARR counts what is contracted and live. An agent will not settle that argument, but it can show exactly where the two populations differ, which is usually enough to end it.

| Difference | Sales view | Finance view |
| --- | --- | --- |
| A deal signed on the last day of the period | In | In, at zero recognised |
| A contract signed but service not started | In | Excluded until the obligation starts |
| A customer in the notice period of a cancellation | In until it lapses | Excluded from forward ARR |
| A one off implementation fee | Often in | Out, it is not recurring |
| An index linked uplift not yet published | Estimated | Excluded, it is variable consideration |
| A multi year deal with a ramp | Year one value | Current contracted rate |

ChatFin builds both populations from the same contract set and reports the bridge between them line by line. The number of contracts in each reconciling category is usually more useful than the value, because it tells you which process is leaking.
 In ChatFin
ChatFin does not pick an ARR definition for you. It applies the one you document, consistently, and shows the contracts that move between the two views each period.

  08
## Revenue classification and rule validation

Classification is where revenue quietly goes wrong, because nothing breaks. An amount lands in the wrong revenue account or the wrong product category, the total still ties, and the error only surfaces when somebody runs a segment report for the board.
**The rule and the posting disagree.** The revenue rule says professional services, the posting went to subscription revenue because the item master carries the old mapping. Both are internally consistent.**A new product has no rule.** It falls to a default account, which is usually the largest one, and it is invisible in the totals.**The rule changed mid year.** Prior periods were not restated, so the trend line is an artefact of the rule rather than of the business.**The disclosure population is drawn differently.** The disaggregation of revenue note uses categories that nobody maintains between reporting dates.1
### Test the rule against the posting, every period

For each revenue line, recompute what the documented rule would have produced and compare it to what posted. ChatFin reports only the differences.
 2
### Report new items with no rule

Any product, item or service code that appeared in the period and has no classification rule attached to it, before it accumulates a balance.
 3
### Version the rules with a date

So a trend can be rebuilt on one rule set and the change is visible rather than buried in the comparison.

The cheap control here is the count of revenue lines that hit a default account. It should be near zero and it almost never is. It is the fastest single test of whether the classification rules are being maintained.

  09
## Where a revenue agent underperforms

Three cases, all of them data problems rather than model problems.
**The contracts are not in one place.** If signed documents live across a CRM, a shared drive and somebody's mailbox, extraction coverage is partial and partial coverage in revenue is worse than none, because it looks complete.**The contract key does not survive amendments.** Without a stable identifier the reconciliation cannot close, and the agent will keep reporting the same population as unexplained.**Policy is not written down.** An agent can apply a policy consistently. It cannot choose one. Where the treatment of evergreen renewals or index linked uplifts has never been documented, that decision has to be made by people first. In ChatFin
ChatFin is additive to a revenue subledger rather than a replacement for one. Where Advanced Revenue Management or Revenue Management Cloud already holds the schedule, ChatFin reconciles to it and explains the differences.

## Questions revenue teams ask first

Can an AI agent do ASC 606 revenue recognition on its own?
No, and a vendor claiming otherwise is describing a compliance risk. The agent extracts the terms, cites the clause and the page, flags where the system setup disagrees with the contract, and prepares a correcting journal. Whether a modification is a separate contract, and how a bundled discount is allocated across performance obligations, are accounting judgements. ChatFin puts the question and the evidence in front of a revenue accountant and waits.
How does an agent explain a deferred revenue difference?
By rebuilding the roll forward at contract level rather than at account level. It recalculates the expected movement from billings and recognised revenue for every contract, lists the ones that do not tie, and attaches the cause to each. In practice the causes cluster into amendments never rebuilt in the subledger, credits and rebills that broke the contract key, schedules started early, and manual journals posted straight to deferred with no contract reference.
 What does the auditor see?
The clause, the page, the extracted term, what the system held, who accepted or overrode the extraction and why. ChatFin keeps that trail because an extraction with no citation is an assertion, and an assertion cannot be tested. If a revenue AI tool can only show a model output when the auditor asks why a contract was recognised over 36 months, it will not survive the audit.

How ChatFin works in revenue accounting

## It finds the 22 contracts. Your accountant decides what they mean.

ChatFin rebuilds the deferred revenue roll forward at contract level, names every contract that does not tie, and attaches the clause and the ledger row to each exception so a revenue accountant is deciding rather than searching.

It reads through published interfaces into NetSuite Advanced Revenue Management, SAP, Oracle Fusion Revenue Management Cloud and Sage Intacct, and writes nothing back without a named approval.

**Bring one period of contracts and the deferred revenue roll forward that did not tie. The comparison takes an hour.**
