- Plex records production, scrap and inventory at transaction level. The finance problem is that this detail is usually summarised into a monthly export before anyone in finance sees it, and a summary cannot be traced back.
- A plant variance total starts an argument. The same figure rebuilt by work order starts a work list, and in a worked example 75,000 of a 184,000 variance turned out to be engineering maintenance rather than plant performance.
- Bill of material and routing effective dates have to be checked against the order release date before usage variance is attributed to production. Skipping that check is how a plant manager stops trusting the number.
- Quantity and value are read on the same row. Value with no quantity is a costing problem, quantity with no value is usually a unit of measure problem, and separating them sends the investigation the wrong way.
- ChatFin reads through the published Plex interfaces, rebuilds the cost position from the movements, and hands every accrual, adjustment and correction to a named person to release.
AI agents for Plex read production, inventory and purchasing records at transaction level through the published Plex interfaces, rebuild the cost position from those movements, and hand every posting to a named person. The agent decomposes a plant variance by work order, ties the inventory subledger to the general ledger at movement level, and proposes accruals for receipts without invoices. It does not set standards and it does not post.
The reason this is worth doing on Plex specifically is that the data is already there. A manufacturer on Plex has operation level production records, scrap with reason codes and continuous inventory movements, which is more detail than most finance teams will ever get from a general purpose ERP. It is usually summarised into a monthly export before finance touches it, and every question worth asking needs the detail that the summary removed.
What an AI agent does on Plex
It turns shop floor data into finance answers. Plex is a manufacturing platform first, so the plant records are unusually complete and the finance work is unusually manual. An agent reads production, inventory and purchasing records through the published Plex web service interfaces, rebuilds the cost position from them, and hands every posting to a person. Confirm the current data source and interface naming for your own Plex edition before scoping, because Plex has carried more than one generation of them.
ChatFin is additive to Plex. It does not replace production recording, inventory control or the shop floor workflow, and where Plex already produces a clean answer there is no reason to put an agent in front of it.
Why the Plex case is different from a tier one ERP
The data is better and the finance layer is lighter. A manufacturer on Plex typically has transaction level production detail that a general purpose ERP never captures, and a finance team that exports it to spreadsheets to do anything with it.
| What Plex gives finance | What usually happens to it | What an agent changes |
|---|---|---|
| Production recorded at operation level | Summarised into a monthly export before finance sees it | Read at operation level, so a variance can be traced to a shift and a part |
| Scrap recorded with a reason code | Reported as a total, so the reason codes go unused | Variance split by reason code, which is the analysis the plant can act on |
| Inventory movements captured continuously | Reconciled monthly against the general ledger, at account level | Reconciled at movement level, so the cause is visible not just the difference |
| Supplier receipts against purchase orders | Matched manually where the price or quantity differs | Grouped by exception pattern with the purchase order history attached |
| Quality and containment records | Rarely connected to the financial cost of the event | Cost of a containment assembled from the movements it generated |
ChatFin reads Plex at transaction level for that reason. A monthly summary export cannot answer which work orders carried the variance, and that is always the question.
Where the numbers come from on Plex
Plex exposes data through published web service interfaces, which is what an agent should read. Verify the exact interface names against your own edition before scoping, because Plex has carried more than one generation of them.
| Area | What finance pulls | Why it matters |
|---|---|---|
| Work orders and production records | Quantity produced, quantity scrapped, operation completions, by order | This is the level a manufacturing variance is explained at |
| Inventory movements | Issues, receipts, transfers and adjustments with quantity and value together | Value without quantity is a costing question. Quantity without value is usually a unit of measure one |
| Purchasing and receiving | Purchase orders, receipts, and the price on each | Purchase price variance is rebuilt from receipts, not from a report total |
| Part master and standards | Standard cost by element, bill of material, routing | A stale standard dominates every variance and hides the real signal |
| General ledger | Account postings by period, with the source transaction reference | The tie between plant records and finance has to work in both directions |
The discipline that makes this work is the same on any system. Every figure carries the transaction type that produced it, quantity and value are read on the same row, and posted, unposted and reversed are kept apart.
A worked plant variance, 184,000 on one part family
One part family carries 184,000 of unfavourable manufacturing variance for the quarter. The plant report shows the total and the plant manager disputes it, which is the normal state of this conversation. Here is the same figure rebuilt from work orders.
| Component | Amount | Work orders | What the evidence shows |
|---|---|---|---|
| Scrap at one operation | 78,000 | 34 | Concentrated on a single operation, one reason code, one shift pattern |
| Bill of material out of date | 44,000 | 61 | Actual issue quantity consistently above the bill, on every order since a process change |
| Routing hours below actual | 31,000 | 58 | The routing was never updated after the line was rebalanced |
| Substitution to a higher cost part | 26,000 | 9 | Documented substitutions during a supply shortage, correctly recorded |
| Orders left open with residual cost | 9,000 | 4 | Production complete, order not closed, cost sitting on it |
| Residual | negative 4,000 | n/a | Aggregated, none above 300 |
| Total | 184,000 | Adds back to the reported variance |
Two components, the bill of material and the routing, are 75,000 of the 184,000 and they are engineering maintenance rather than plant performance. The plant manager was right to dispute the number, and until somebody rebuilt it there was no way to show that.
The patterns that break a manufacturing reconciliation
Four, and they repeat across every manufacturer.
ChatFin checks the bill of material and routing effective dates against the order release date before attributing usage variance to production. Skipping that check is the fastest way to lose a plant manager's trust.
What this does to a manufacturing close
It moves the plant conversation from arguing about a total to working a list. That is a bigger change than it sounds, because the argument is what consumes the time.
Inventory subledger tied to the general ledger before day one
At movement level, with the transaction type behind every difference, so the close starts from a work list rather than from an extract.
Variance decomposed by part family and by work order
With the engineering causes separated from the production causes, because they go to different owners.
Accruals proposed from receipts without invoices
Priced from the purchase order and the receipt, with the document reference on every line.
Scrap and rework costed by reason code
So the plant gets an analysis it can act on rather than a number it disputes.
Everything as a proposal
ChatFin prepares. A named person releases. There is no path where a posting happens without an approval.
Costing scrap so the plant can act on it
Scrap is usually reported as a quantity and a percentage, and neither of those is a number a finance team can prioritise with. The useful view is cost by reason code, by operation, and by where in the routing the loss happened.
Cost each scrap event at the operation it happened
Material plus applied labour and overhead to that point, not an average per part.
Rank reason codes by cost, not by count
The most frequent reason code is rarely the most expensive one, and the plant usually already knows about the frequent one.
Assemble the cost of a containment as one figure
The movements exist across inventory, purchasing and time. Adding them up against the event is retrieval, and nobody has the hours for it.
ChatFin costs each scrap event at the operation where it occurred and ranks reason codes by cost. That ranking is the output the plant can act on.
Receiving and payables, where the exceptions cluster
On a manufacturer the three way match failures are not random. They fall into a small number of patterns, and grouping them by pattern is what makes the population workable.
| Pattern | What it looks like | Where it should go |
|---|---|---|
| Quantity received short, invoice for full | Receipt below purchase order, invoice at order quantity | Supplier, with the receipt document attached |
| Price above purchase order, inside tolerance | Small difference, repeated across many receipts | Clear on the rule, but report the pattern to purchasing |
| Price above purchase order, outside tolerance | One or two suppliers, consistent | Purchasing. This is a contract question |
| Invoice against a closed purchase order | No open line to match to | Requisitioner, to confirm the receipt happened |
| Freight or duty billed separately | No purchase order line at all | Landed cost treatment, tied back to the receipt it belongs to |
| Duplicate under a different reference | Same vendor, same amount, different invoice number | Hold. The goods receipt supports only one of them |
The last pattern is the expensive one and the standard duplicate check misses it, because the check runs on vendor, amount and invoice reference and the reference is what changed. The goods receipt is the control that catches it.
ChatFin groups match failures by pattern and routes each group to the owner who can answer it. Where a tolerance rule already covers a group, it proposes the clearing and names the rule it applied.
Where an agent underperforms on Plex
Three cases, all worth testing before a pilot.
ChatFin reconciles what the systems hold. Where the difference is between the system and the physical stock, that needs a count and ChatFin says so rather than producing an adjustment.

Questions manufacturing finance teams ask first
How does an AI agent connect to Plex?
Through the published Plex web service interfaces, read only for analysis and with a governed write path for anything that posts. Confirm the current interface and data source naming against your own Plex edition before scoping, because Plex has carried more than one generation of them. ChatFin reads at transaction level rather than from a summary export, because a summary cannot be traced back to the work orders that produced it.
Why does the plant always dispute the variance number?
Usually because a real part of it is not their doing. In a worked example of 184,000 of unfavourable variance on one part family, 44,000 came from a bill of material that was never updated after a process change and 31,000 from a routing that was never updated after the line was rebalanced. Both look identical to overuse in a total. ChatFin checks bill and routing effective dates against the order release date before attributing anything to production.
What does an agent not do in manufacturing finance?
It does not set standard costs, maintain bills of material or routings, decide what scrap is acceptable, or tell you the physical stock is missing. It reconciles what the systems hold and names the cause of each difference. Where the records and the shelf disagree the honest answer is that a count is needed, and ChatFin says that rather than producing an adjustment.
One disputed total becomes five causes with five owners.
ChatFin reads Plex production, inventory and purchasing at transaction level, decomposes plant variance by work order, and separates engineering causes from production causes so each goes to the right owner.
Inventory is reconciled to the general ledger at movement level, accruals are priced from the purchase order and the receipt, and every output is a proposal a named person releases.
