In EBS the general ledger is the result, not the record. The answer to a variance lives in the accounting events.

      Key takeaways

- The Subledger Accounting engine builds the accounting from the transaction, so an unprocessed accounting event is invisible in the general ledger and decisive at the close.
- Accounting flexfield rules are amended over the years and rarely retired, so combinations exist in history that current validation would reject.
- A payables question without an operating unit is undefined rather than broad, which is why two people reading EBS correctly get two different totals.
- Read only access is the practical starting point, because on EBS write access is a concurrent request and patching conversation rather than a technical one.
- Flexfield drift and unprocessed events have to be cleaned before a Fusion migration anyway, so the work is not wasted if you are moving.

AI agents for Oracle E Business Suite read where the accounting is actually built. ChatFin works from accounting events and subledger journal lines rather than from general ledger balances, because in EBS the ledger is the output of the Subledger Accounting engine and not the record of what happened.

That distinction decides whether a close question can be answered. ChatFin returns the events behind an out of balance subledger, states the ledger, legal entity and operating unit behind every figure, and proposes entries for a person to post rather than writing into EBS itself.

## In EBS the subledger is the source, not the general ledger

Most finance automation is written as though the general ledger holds the detail. In Oracle E Business Suite it does not. The Subledger Accounting engine builds the accounting from the transaction, and what lands in GL is the result of rules that sit between the two. ChatFin reads at the subledger level because that is where the answer to a variance actually lives.

| Question asked | Where people look | Where the answer is |
| --- | --- | --- |
| Why did this account move | GL balances | The SLA journal entry lines |
| Why is this invoice unaccounted | AP inquiry | The accounting event and its status |
| Why do two entities differ | GL by entity | The rules assigned per ledger |
| Why did the account change | The chart of accounts | The account derivation rule |
| Why is the subledger out | A reconciliation report | Unprocessed accounting events |

An unprocessed accounting event is invisible in GL and decisive at the close. ChatFin reads accounting events and their status alongside the balances, which is the difference between reporting that the subledger does not tie and saying which events are the reason.
 In ChatFin
ChatFin reads accounting events and SLA journal lines, not just GL balances, so an out of balance subledger comes back with the events that caused it.

## The accounting flexfield is a structure, and it drifts

The EBS accounting flexfield is a set of segments with cross validation rules, security rules and value set hierarchies behind it. On an estate that has been live for fifteen years those rules have been amended many times and rarely retired. ChatFin sees the same failures repeatedly.
**Cross validation rules were added after the fact.** So combinations exist in history that could not be created today, and any report built on the current rules quietly excludes them.**Value set hierarchies disagree with the reporting hierarchy.** The parent child structure in the value set and the one used in the management pack are maintained by different people and drift apart.**Disabled values still carry balances.** A segment value disabled for new entry keeps its history, and a query filtered on enabled values loses it.**Segment meaning changed.** A segment that meant one thing in 2014 means another now, with no marker in the data at the point it changed.
None of that shows up as an error. It shows up as two people producing different totals and neither being able to prove the other wrong. ChatFin profiles the combinations that actually carry balances rather than the combinations the current rules permit.

*Two totals, both defensible, because the flexfield rules changed underneath them.*

In ChatFin
ChatFin profiles the flexfield combinations that carry balances rather than the ones current validation allows, which is where the two totals problem comes from.

  03
## Multi org means a question needs an operating unit before it means anything

EBS partitions transaction data by operating unit. A payables query without an operating unit context is not a broad query, it is an undefined one, and the answer depends on which responsibility was used to ask it. That single fact causes more disputed numbers than any other feature of the product.

| Scope | What it covers | Where it bites |
| --- | --- | --- |
| Ledger | One chart, calendar and currency | Group reporting spans several |
| Legal entity | The reporting and tax boundary | Not the same as the ledger |
| Operating unit | Where AP and AR transactions sit | A query without one is undefined |
| Inventory organisation | Where cost lives | Costing questions need this, not the OU |
| Responsibility | What a person can see | Two people, two answers, both correct |

ChatFin states the ledger, the legal entity and the operating unit behind every figure it returns. That sounds like a small thing until two managers bring the same report to a review with different numbers on it, which on a multi org estate is a monthly event.

Ask for your open payables total without naming an operating unit and see how many different answers you can get from people who are all reading EBS correctly.

## The interface tables are where things go to be forgotten

EBS moves data between subsystems through interface tables, and a row that fails validation stays in the interface table with an error code on it. It is not lost and it is not posted. ChatFin finds these on nearly every estate, sometimes years deep.

| Interface | What sits there | Why nobody notices |
| --- | --- | --- |
| GL journal import | Rejected journal lines | The import report is not read |
| Payables invoice open | Invoices that never became invoices | AP ageing cannot see them |
| Receivables autoinvoice | Unbilled transactions | Revenue is understated quietly |
| Bank statement | Unreconciled statement lines | The bank reconciles by exception |
| Fixed asset mass additions | Additions in the holding queue | Depreciation starts late |

Each of those has a report that would show it and a person who stopped reading the report some time ago. ChatFin checks the interface tables as a matter of course at every close and reports the age of the oldest unprocessed row, which is usually the number that gets attention.

![two people reviewing printed statistics reports at a desk](https://images.pexels.com/photos/7681091/pexels-photo-7681091.jpeg?auto=compress&cs=tinysrgb&w=1600&h=820&fit=crop)
*A rejected interface row is not lost and not posted. It just waits.*

In ChatFin
ChatFin checks the EBS interface tables every close and reports the age of the oldest unprocessed row, not just the count.

## Where ChatFin starts on an EBS estate

Five entry points, one per hub under this pillar. Each is read only against EBS, which matters because concurrent request queues and patching windows make write access a scheduling conversation rather than a technical one.
 1
### Payables

Invoice holds, matching against the purchase order and receipt, and the difference between an invoice that is on hold and one that is simply unaccounted. See [AI agents for Oracle EBS payables](https://chatfin.ai/oracle-ebs-accounts-payable-ai/).
 2
### Receivables

Open AR by operating unit, cash application against the bank statement, and a collections list built from behaviour rather than from ageing buckets. See [AI agents for Oracle EBS receivables](https://chatfin.ai/oracle-ebs-accounts-receivable-ai/).
 3
### The close

Subledger to general ledger tie outs through accounting events, unposted journal batches and the interface tables nobody checks until something is missing. See [AI agents for the Oracle EBS close](https://chatfin.ai/oracle-ebs-month-end-close-ai/).
 4
### FP&A

Budget against actual by flexfield segment, flux with a reason attached, and questions answered without commissioning a new report. See [AI agents for Oracle EBS FP&A](https://chatfin.ai/oracle-ebs-fpa-ai/).
 5
### Choosing

How EBS specific automation compares against a close platform, a payables platform and waiting for the Fusion migration. See [Oracle EBS AI alternatives](https://chatfin.ai/oracle-ebs-vs-alternatives/).

If the immediate question is how to connect an assistant to EBS at all, the walkthrough is at [how to connect Claude to Oracle EBS](https://chatfin.ai/how-to-connect-claude-to-oracle-ebs/).
 In ChatFin
Every one of the five is read only against EBS to start. ChatFin proves the analysis before any write into the interface tables is discussed.

  06
## This is not an argument against Fusion

Plenty of EBS estates are heading to Oracle Fusion Cloud ERP and should. The point is that the close does not improve while the migration runs, and migrations run for years. ChatFin is clear about which side of that line it sits on.
**The rules move, the plumbing does not.** Exception patterns, tolerance logic and reconciliation rules describe your business and carry across. Anything built as an EBS customisation does not, which is why ChatFin builds none.**Data quality work pays twice.** Flexfield drift and unprocessed accounting events are problems you have to fix before a migration anyway, so fixing them now is not wasted effort.**Some requirements really do need Fusion.** Where a capability never existed in EBS, the honest answer is that it needs the newer product rather than a tool bolted on.
If you are already on Fusion, the parallel cluster is [AI agents for Oracle Fusion Cloud financials](https://chatfin.ai/blog/ai-agents-for-oracle-fusion-cloud-financials-automation-intelligence/).

Start with invoice holds and unprocessed accounting events. Both are read only, both are measurable within one close, and both are on the migration checklist anyway.

## Questions EBS finance teams ask

Why read the subledger rather than the general ledger?
Because in EBS the general ledger is what the Subledger Accounting engine produced, not what happened. An accounting event that has not been processed leaves no trace in GL and still puts the subledger out at the close. ChatFin reads events and their status alongside balances, so the answer names the cause rather than restating the symptom.
Our flexfield rules have changed many times. Does that matter?
It matters more than most teams expect. Cross validation rules added later mean historic combinations exist that could not be created today, and any query built on current rules silently drops them. ChatFin profiles the combinations that actually carry balances, which is why it does not lose the history.
Why does ChatFin always state the operating unit?
Because EBS partitions transaction data by operating unit and a query without one is undefined. Two people using different responsibilities can both read EBS correctly and get different payables totals. Naming the ledger, legal entity and operating unit on every figure is what makes the number arguable rather than disputed.
We are migrating to Oracle Fusion. Is this wasted?
The rules are not. Exception patterns and reconciliation logic describe your business and move across, and flexfield drift and unprocessed accounting events have to be cleaned up before a migration in any case. What does not carry across is an EBS specific customisation, which is one reason ChatFin does not build one.

      How ChatFin works on EBS

## Read the accounting events, not just the balances.

ChatFin reads Oracle EBS at the subledger level, profiles the flexfield combinations that actually carry balances, and names the ledger, legal entity and operating unit behind every figure it returns.

It runs read only to start, which sidesteps the concurrent request and patching scheduling that makes write access slow to agree on an EBS estate.
