# AI Agents for
 NetSuite FP&A

Most NetSuite variance investigations that end in nothing were a segment change, not a business movement. Checking the population first costs seconds.

      Key takeaways

- NetSuite carries the analysis in its segments, and the segments drift from the plan structure every year. Report the population difference before reporting the variance.
- Track segments on internal id, never on name. A renamed department looks like one closing and another opening, and the comparison breaks silently.
- Return the row count with every total. A figure that looks right on 240 rows and should have been 2,400 is the error that gets past a reviewer.
- In a worked 312,000 variance, only 128,000 was an operational overspend. The rest was an unbudgeted department, a released accrual and a reclass, with three different owners.
- ChatFin reads through SuiteQL and SuiteTalk REST, reuses your existing saved searches where they define a population, and labels every forecast assumption as observed or judged.

AI agents for NetSuite FP&A answer questions against the ledger without waiting for an extract, decompose a movement into components that add back to the reported total, and draft the commentary a reviewer edits. ChatFin reads through SuiteQL and SuiteTalk REST, states the filter, the period and the posting status with every figure, and posts nothing.

The two failures that make NetSuite FP&A output untrustworthy are both population problems rather than arithmetic ones. Segments drift away from the plan structure, so a comparison quietly excludes a department. And a query includes a document class the person asking did not mean, usually unapproved journals or one half of a reversed pair. Both produce a plausible number, which is why they survive review.

## What an FP&A agent does inside NetSuite

It answers questions against the ledger without waiting for an extract, and it shows the query it ran. Everything else in NetSuite FP&A follows from that. A forecast you cannot trace, a variance you cannot open and a commentary nobody can check are all the same failure.
**Query.** A joined read across the transaction and transactionline records, filtered on period, subsidiary, department, class and location, with the posting status stated.**Decompose.** Take a movement and split it into components that add back to the reported total, with the documents behind each one.**Forecast the mechanical part.** Roll forward contracted items and known schedules. Leave the commercial assumptions to a person who owns them.**Draft.** Write commentary in the wording your reviewers approved last period, and stop where the detail does not support a claim about cause. In ChatFin
ChatFin reads NetSuite through SuiteQL and SuiteTalk REST, and reuses the saved searches your team already maintains where one defines a population. A definition that has been argued about is worth more than a fresh query.

  02
## The segment problem, which is the real NetSuite FP&A problem

NetSuite carries the analysis in its segments. Subsidiary, department, class, location and any custom segments a team has added. FP&A breaks when those segments and the plan structure stop agreeing, and they stop agreeing every year.

| What changes | What it does to the comparison | What an agent should do |
| --- | --- | --- |
| A department is added mid year | Prior period comparison silently excludes it | Report the population difference before reporting the variance |
| A department is renamed | It looks like one closed and another opened | Track on internal id, never on name |
| Class is repurposed for a new dimension | Historic data means something else | Version the mapping with an effective date |
| A subsidiary is consolidated differently | The elimination changes and the trend breaks | State the consolidation basis on every figure |
| A custom segment is only populated from March | The year looks like a step change | Report coverage, not just the total |

Most NetSuite variance investigations that end in nothing were a segment change rather than a business movement. Checking the population before explaining the number costs seconds and saves the afternoon. In ChatFinChatFin holds the mapping between the plan structure and the NetSuite segments as a versioned object with effective dates, not as a spreadsheet on somebody's drive. When a department is added mid year, the pack does not silently drop it.

  03
## Posted, unposted and the answer that looks right

The most common wrong number in NetSuite reporting is not a calculation error. It is a population error, and it passes review because the figure looks plausible.
**Unapproved journals.** Present in the system, absent from the ledger. Including them overstates, excluding them understates when the close is mid flight.**Memorised transactions not yet generated.** Real commitments with no posted row behind them yet.**Reversed pairs.** Both sides posted. A filter that catches one side and not the other produces a difference nobody can trace.**Intercompany before elimination.** Correct at subsidiary level and wrong at group level, from the same query.1
### Return the row count with every total

A total that looks right on 240 rows and should have been 2,400 is the failure that gets past a reviewer. The count is the cheapest control available.
 2
### State the posting status in the output, always

Not in a footnote. In the answer, next to the number.
 3
### Show the filter that produced the figure

An answer with no visible query is an answer nobody can check, and it should not be used in a pack.

*The row count next to the total is a cheaper control than any review process.*

  04
## A worked variance, 312,000 on professional services cost

Budget 940,000 for the quarter, actual 1,252,000. The pack reports 312,000 over and stops. Rebuilt from the transaction lines, it is five things.

| Component | Amount | Evidence |
| --- | --- | --- |
| Contractor rate increases from the new supplier agreement | 128,000 | Vendor bills at the new rate from the renewal date, two suppliers |
| A department added in month two and not in the budget | 94,000 | The department has no prior period comparison at all |
| Prior quarter accrual released | 61,000 | One journal, reversing an over accrual booked in the previous quarter |
| Reclass in from a capitalised project | 38,000 | One correcting journal, both sides visible |
| Residual | negative 9,000 | Aggregated, 137 lines, none above 800 |
| **Total** | **312,000** | **Adds back to the reported variance** |

Only the first line is an operational overspend. The second is a budgeting gap, the third and fourth are accounting movements. A commentary calling the whole 312,000 an overspend on contractors is wrong by more than half.

The department added in month two is the line worth catching, because it will produce a variance every period until the budget is restated. The variance is real and the explanation is not the one anybody assumed.

  05
## Where a NetSuite forecast agent is strong and where it stops

Being precise about this is the difference between a useful pilot and a disappointing one.

| Task | Agent | Why |
| --- | --- | --- |
| Assemble the actuals baseline by segment | Strong | Retrieval and mapping, with the evidence in the ledger |
| Roll forward contracted and scheduled items | Strong | Subscriptions, rent and dated agreements are documents it can read |
| Build a 13 week cash position | Strong | Open payables and receivables by due date, priced on observed payment behaviour rather than stated terms |
| Flag assumptions already broken by actuals | Strong | It compares the assumption to posted activity and reports the gap |
| Model a new product line | Weak | No history to read, so it would be inventing the relationship |
| Choose a demand assumption | No | A commercial judgement that belongs to a person who owns the number |

In ChatFin
ChatFin labels every assumption as observed or judged in the output. An assumption a reviewer inherits without noticing is how a forecast becomes confidently wrong.

  06
## Driver based analysis, using drivers NetSuite actually holds

A driver tree is only as good as the driver you can measure every month without asking anyone. Most driver models fail not because the logic is wrong but because two of the six inputs live in a spreadsheet somebody updates when they remember.

| Driver | Where it lives in NetSuite | Usable monthly |
| --- | --- | --- |
| Headcount by department | Employee records with department and status | Yes, if leavers are dated rather than deleted |
| Billable hours | Time entries against projects or cases | Yes, where time is captured in NetSuite rather than a separate tool |
| Units shipped | Item fulfilment lines by item | Yes, and it is usually more reliable than the sales figure above it |
| Active customers | Customers with a posted invoice in the period | Yes, but the definition needs writing down once and versioning |
| Average selling price | Invoice lines, value over quantity by item | Yes, and it will disagree with the commercial team's number |
| Pipeline conversion | Usually the CRM, not NetSuite | No, and a driver model that depends on it needs a second source |

The last row is the honest one. Where a driver is not in the system, an agent should say so rather than substituting a proxy, because a proxy silently changes what the model means.

Start a driver model with the drivers that are already measured every month without effort, even if that is four of the six you wanted. A four driver model that runs itself beats a six driver model that stalls in month two.In ChatFinChatFin builds the driver history from the NetSuite records themselves and states which drivers it could not source. It does not fill a gap with a proxy.

## Where a NetSuite FP&A agent underperforms

Three, and all three are worth testing before a pilot.
**Segments are inconsistently applied.** Where half the transactions carry a department and half do not, every departmental analysis has a silent residual and the agent will report it as a real movement.**The budget lives outside NetSuite and is not reconciled.** If the plan is in a spreadsheet nobody ties back, budget versus actual is comparing two populations rather than two numbers.**There is no approved prior commentary.** Drafting against your reviewers' own wording is what makes output usable. A team that has never written consistent commentary gets a generic first month, and that is expected. In ChatFin
ChatFin is additive to NetSuite and to a planning tool if you run one. Where NetSuite Planning and Budgeting already holds the model, ChatFin reconciles to it and explains differences rather than rebuilding it.

## Questions FP&A teams ask first

Why does a NetSuite variance investigation so often end in nothing?
Because the movement was a segment change rather than a business event. A department added mid year has no prior period comparison, a renamed department looks like one closing and another opening, and a class repurposed for a new dimension makes historic data mean something else. ChatFin tracks segments on internal id and holds the mapping to the plan structure with effective dates, and it reports the population difference before it reports the variance.
How do you know an AI answer from NetSuite is right?
Make it show its working. The answer should carry the filter applied, the period, the subsidiary and posting status, and the row count behind the total. A total that looks right on 240 rows and should have been 2,400 is the failure that gets past a reviewer, and the row count catches it in a second. ChatFin returns all of that with every figure, because an answer with no visible query cannot be checked.
Can an agent build the forecast?
It can build the mechanical part. Assembling the actuals baseline by segment, rolling forward contracted and scheduled items, producing a 13 week cash position from open payables and receivables priced on observed payment behaviour, and flagging assumptions that actuals have already broken. Choosing a demand assumption or modelling a product line with no history is a commercial judgement. ChatFin labels every assumption as observed or judged so a reviewer does not inherit one by accident.

How ChatFin works in NetSuite FP&A

## Every figure carries its filter, its period and its row count.

ChatFin reads NetSuite through SuiteQL and SuiteTalk REST, holds the mapping between your plan structure and your segments with effective dates, and splits a movement into components that reconcile to the reported total.

It reuses the saved searches your team already maintains, drafts commentary against your approved prior wording, and posts nothing.

**Bring one quarter of variance and the commentary your team wrote. The comparison takes an hour.**
