Sage Intacct Productivity
Without Adding Headcount

Hours released are not hours captured. That gap is where most productivity claims quietly fail.

Key takeaways
  • Measure where the week goes before automating anything. The largest block is usually answering the same questions repeatedly, which is not what teams expect.
  • Sage Intacct's dimensional model is why automation goes further here than on a flat chart of accounts, and it is conditional on dimensions actually being populated.
  • A dimension marked required is routinely bypassed by an import or a recurring entry, so the real blank rate has to be measured per posting source.
  • Where a suggested default is accepted every time, the dimension is technically populated and analytically empty.
  • Automation removes the assembly work between the ledger and the judgement. It does not remove the judgement, and it does not remove an accountant.

Productivity claims are usually made about the wrong tasks. ChatFin measures where a Sage Intacct team's week genuinely goes first, and the largest block is normally answering the same questions repeatedly rather than any of the work a demo focuses on.

What automation removes is the assembly between the ledger and the judgement. It does not remove an accountant, and hours released only become value once somebody decides what they are for. That decision is not automatable and it is where most of these programmes stall.

Where the hours actually go in a Sage Intacct team

Productivity claims are usually made about the wrong tasks. Before anything is automated it is worth measuring where a Sage Intacct finance team's week genuinely goes, because the answer is rarely what the software demo assumes.

TaskWhere the time goesAutomatable share
Bill codingChoosing dimensions, not typingHigh, once vendor patterns are learned
Cash applicationSplitting lump receiptsHigh for clean matches, low for the rest
Close status chasingAsking people where they areHigh, status is derivable
ReconciliationInvestigating, not matchingMatching high, investigation low
ReportingAssembling, not analysingHigh, assembly is mechanical
Answering questionsRebuilding the same queryHigh, and the most underestimated

The last row is where a dimensional ledger changes the arithmetic. In Sage Intacct the dimensions already carry the analysis, so a question that would need a report build in a flat chart of accounts is answerable directly.

In ChatFin

ChatFin measures the current split before proposing anything, because a productivity number quoted against the wrong task is not a number at all.

Savings that do not show up on a report

Productivity gains in a small Intacct team arrive in fragments: twenty minutes on a bank rec, half an hour on an approval chase. None of them is big enough to appear in a budget review.

If I save 30 minutes here and somebody on my team saves 30 minutes there and it records a meeting for us, those are harder to quantify.

Adam Swoverland, on the AgentCFO podcast

Log them anyway for a month. Added up across the team, the scattered minutes are usually what makes the no-hire case.

02

Why this does not need a hire, and why it does not remove one

Both claims are usually made dishonestly. The realistic position is narrower and more useful than either.

No implementation hire is needed. The work is configuration against the Sage Intacct REST API and your existing dimension structure, not a development project.
No systems administrator is added. Nothing is installed inside Sage Intacct, so there is no new component for somebody to own.
It does not remove an accountant. What it removes is the assembly work between the ledger and the judgement, which is the part nobody was hired to do.
It changes what the next hire looks like. A team using ChatFin to handle assembly hires for analysis rather than for capacity, which is a different job description.
Capacity released is not capacity captured. Hours freed only become value if somebody decides what they are for, and that decision is not automatable.

In ChatFin

ChatFin removes the assembly work between the ledger and the judgement. The judgement stays with your team, and so does the decision about what the freed hours are for.

03

The dimension advantage, and the condition attached to it

Sage Intacct's dimensional model is the reason ChatFin goes further here than on a flat chart of accounts. It is also conditional on something most estates get partly wrong.

1

Dimensions have to be populated

A dimension marked required is routinely bypassed by an import or a recurring entry. The real blank rate has to be measured per posting source rather than read from the setup.

2

Values have to be current

Postings to a department that was merged or a project that ended are valid values with stale meaning. Both pass validation, and ChatFin reports them separately.

3

The default must not always win

Where a suggested default is accepted every time, the dimension is technically populated and analytically empty.

4

Custom dimensions need a definition

A dimension specific to your business is the most valuable one and the least documented. Somebody has to say what correct looks like.

ChatFin profiles dimension quality before it reports on anything, and states the blank and default rates alongside the answer. A dimensional analysis on 60 percent populated dimensions is a confident wrong number.

Ask for the blank rate on your two most used dimensions, split by posting source. The concentration usually points at one import nobody has looked at.
04

Where this underperforms

Three.

Small transaction volumes. Pattern learning needs enough history per vendor and per dimension. Below a few hundred transactions a month ChatFin is guessing, and says so.
Dimension structure in flux. A team mid way through restructuring its dimensions has no stable pattern to learn from, and the honest advice is to finish that first.
Anything that ends in judgement. Whether a variance is acceptable is not a productivity problem. It is the work, it stays, and ChatFin does not pretend otherwise.
Start by measuring where the week actually goes for two weeks. Most teams find the biggest block is answering questions, which is not what they expected.

Questions Sage Intacct teams ask

Where do the hours actually go?

Rarely where the demo assumes. Bill coding time goes on choosing dimensions rather than typing, reconciliation time goes on investigating rather than matching, and the single largest block is usually rebuilding the same query to answer a question somebody asked before.

Does this need a new hire to implement?

No. The work is configuration against the Sage Intacct REST API and your existing dimension structure rather than a development project, and nothing is installed inside Sage Intacct, so there is no new component for anyone to own.

Does it remove an accountant?

No, and claiming otherwise is dishonest. It removes the assembly work between the ledger and the judgement, which is the part nobody was hired to do. What changes is that the next hire is for analysis rather than for capacity.

What condition does the dimension advantage depend on?

Dimensions being genuinely populated. A dimension marked required is often bypassed by an import or recurring entry, values go stale when departments merge, and a default accepted every time leaves the field populated and analytically empty.

How ChatFin works on Sage Intacct

Measure first, then automate the assembly.

ChatFin profiles dimension quality before reporting on anything, and states blank and default rates alongside the answer.

It removes the assembly work between the ledger and the judgement, and leaves the judgement, and the decision about the freed hours, with your team.

Measure where the week goes for two weeks first.
