The Controller's Job
on SAP S/4HANA

One line item table changed what a controller can ask for. What it did not change is which parts of the role need a person.

Key takeaways
  • The Universal Journal removes the reconciliation between FI and CO and puts your extension fields on the line item, which is what makes one query answer a question that used to take three.
  • An agent should hold its own S/4HANA user and roles and write through the standard posting interface, so substitution, validation and document splitting all still run.
  • Released OData services carry a stability contract. Table reads do not, which is why an upgrade breaks the second approach and not the first.
  • Start with continuous reconciliation because it can be proved inside one period. Forecasting cannot, which is why it belongs later in the sequence rather than first.

SAP collapsed financial accounting and controlling into one line item table, and that single design decision is what makes an intelligent controller layer possible on S/4HANA. Profitability detail, multiple currencies and your own extension fields all sit on the posting itself.

What follows is what that changes about the controller's day, how an agent should reach the system without reading tables it has no business reading, and the order to automate a large estate in so that each step can be proved before the next is funded.

The Universal Journal changes what a controller can ask for

Every conversation about automating accounting on S/4HANA runs through one design decision. SAP collapsed the separate financial accounting and controlling tables into a single line item table, and that single change is what makes an intelligent controller layer possible at all.

Before the Universal JournalIn S/4HANAWhat it means for automation
FI and CO reconciled periodicallyOne line item tableNo reconciliation between them
Totals tables kept separatelyAggregates computed on readLedger detail is the source
Margin analysis in its own storeHeld on the same lineOne query answers both
Currency handled per componentMultiple currencies per lineTranslation stops being a step
Extension fields bolted onCoding block extensibleYour dimensions are first class

The third and fifth rows are the ones controllers underrate. When profitability detail and your own extension fields sit on the same line as the posting, a question that used to require three extracts and a spreadsheet becomes one read. ChatFin is built on that assumption.

In ChatFin

ChatFin reads the Universal Journal directly through released OData services, so extension fields in your coding block are available to the agent as dimensions.

From extract to explanation

The Universal Journal removes most of the reconciliation between sub-ledgers. What it does not do is turn the result into something a business reader understands.

How can I model that to make it clear, concise and easy for you to understand?

Aim the tooling at that last step. Producing the number is now the easy part on S/4HANA.

02

What the controller role becomes

The honest version of this argument is not that a controller does less. It is that the proportions change, and the parts that grow are the parts the job was supposed to be about.

Reconciliation moves from doing to reviewing. The matching runs continuously and the controller sees a grouped exception list rather than a ledger.
Close preparation becomes a standing state. Accruals with a rule based basis post as the evidence arrives, so period end is a confirmation rather than a construction.
Control testing goes from sample to population. Which is a genuine change in assurance, not a speed improvement, and it is the one auditors care about.
Variance work starts earlier and with better support. The number and its supporting detail arrive together, so the first conversation is about the cause.
The judgement calls stay, and get more time. Provisioning, contract disputes and estimates were always the defensible core of the role.

Any vendor promising that the last item automates is either selling something they have not built or has not sat through an audit. ChatFin does not post a judgemental provision.

03

How an agent should reach S/4HANA

The integration decision matters more on S/4HANA than on most platforms, because the wrong route is available and superficially faster.

1

Released OData services, not table reads

SAP publishes released APIs with a stability contract. Reading the underlying tables works until the next upgrade, and it bypasses the authorisation objects that protect the data.

2

The authorisation concept applies to the agent

An agent should hold its own user with its own roles, so what it can see and post is governed by the same mechanism that governs a person. This is the security boundary.

3

Writes go through the standard posting interface

Which means substitution, validation and document splitting all still run. An agent that writes around them produces entries your own configuration would have rejected.

4

Extension fields are declared, not inferred

If your coding block carries a custom dimension, the agent has to be told what it means. Guessing from field names is how a ledger gets read confidently and wrongly.

5

Everything the agent does is attributable

Document by document, with the reasoning retained. Without that the audit tests your process instead of your numbers.

If an integration cannot show you which released service it used and under whose authorisations, it is reading tables. Ask the question directly.
In ChatFin

ChatFin holds its own S/4HANA user and roles, writes through the standard posting interface so document splitting still runs, and retains the reasoning per document.

04

Where to start in an S/4HANA estate

Estates of this size fail at automation by starting everywhere. The sequence below is ordered by how cleanly each step can be proved before the next one is funded.

StepWhy it is firstHow you know it worked
Continuous account reconciliationObjective answer, largest blockThe exception list shrinks weekly
Rule based accrualsBasis is written down alreadyPeriod end posts nothing new
Control monitoring on full populationAssurance gain is immediateThe auditor changes their sample
Intercompany matchingHigh effort, well definedElimination entries stop being rebuilt
Reporting assemblyPure mechanical workThe pack is ready before the review

Notice what is absent. Forecasting sits outside this list deliberately, not because it cannot be automated but because it cannot be proved in one period, and funding the rest of the programme depends on proving something quickly.

In ChatFin

ChatFin deploys against reconciliation first in S/4HANA estates for exactly this reason, and the exception trend is the measure we agree on before starting.

05

The objections worth taking seriously

Three of these come up in every S/4HANA conversation, and two of them are right.

We already paid for SAP's own automation. Often true, and you should use it. The gap is usually cross system work, exception handling and anything that needs a source outside the ERP. Map what you own before buying anything.
Our authorisation model is too complex to hand to an agent. This is a reason to give the agent its own restricted user, not a reason to avoid the question. The complexity is the control working.
An upgrade will break it. Only if the integration reads tables. Released OData services carry a stability contract precisely so this is not true.

The first objection is the one most vendors dodge. If your estate already has the standard capability configured, an outside agent should be justified by what it adds, and ChatFin is comfortable being scoped that way.

Questions S/4HANA teams ask

Does this replace SAP's own automation?

It should not, and you should map what you already own before buying anything. The gap an outside agent fills is usually cross system work, exception handling and processes that need a data source outside the ERP entirely.

How does an agent respect our authorisation model?

By holding its own user with its own roles. What the agent can read and post is then governed by the same authorisation objects that govern a person, which makes the model the security boundary rather than an instruction in a prompt.

Will an S/4HANA upgrade break the integration?

Not if it uses released OData services, which carry a stability contract for exactly this reason. An integration built on direct table reads is a different matter, and that risk is why the shortcut is not worth taking.

What does continuous control monitoring change for audit?

It moves testing from a sample to the full population. That is a change in the level of assurance rather than a speed improvement, and it is the part external auditors respond to most directly, provided the evidence is retained per document.

How ChatFin works on SAP S/4HANA

Released services, its own user, evidence per document.

ChatFin reads the Universal Journal through released OData services and holds its own S/4HANA user, so your authorisation model governs the agent as it governs a person.

Writes go through the standard posting interface, which means substitution, validation and document splitting still run, and the reasoning is retained document by document.

Start with continuous reconciliation and agree the exception trend.
