The most expensive AP errors are the quiet ones. A bill entered twice under a slightly different reference. A tax line that should not be there. A vendor bank account changed the week before a large payment. None of these announce themselves, and by the time an audit finds them the money has moved.

AI changes the timing. Instead of sampling after the fact, it checks every bill continuously and flags the risky ones before the payment run, when a human can still stop them.

Duplicate detection that catches near matches

A duplicate is rarely a perfect copy. It is the same invoice keyed with a different reference, or a slightly different amount, or a different date. A simple exact match misses these. AI compares across invoice number, amount, date and vendor, including deliberate and accidental variations, and flags the likely duplicate before it is paid.

Same invoice re entered under a different reference.
A credit and a rebill that net to a double payment.
The same bill submitted through two channels.
A rounding difference used to slip a copy past an exact match.

Vendor master monitoring

The highest risk change in AP is not a bill at all. It is a change to where money is sent. A new bank account, a changed remittance address, a new vendor added just before a large invoice. These deserve enhanced verification, not a routine approval.

Tax and coding error checks

AI checks that tax is applied correctly, that the coding is consistent with the vendor history, and that nothing is posted to an account that does not fit. These are the small errors that pass a busy reviewer and surface later as a restatement. Coding itself is covered on bill coding and dimension assignment.

Out of policy and unusual spend

By modeling a vendor normal pattern, AI can flag a bill that is unusual for that vendor: an amount well outside the normal range, an unexpected frequency, a category that does not fit. The flag is a prompt for a human to look, not an automatic block.

Catch it before the payment run

The value is entirely in the timing. ChatFin runs these checks as part of the flow, before the bill posts and before payment, so a person can intervene while it still matters. This is the same governed posting step used across the full AP flow.

An audit trail that helps you later

Every check, flag and decision is logged. When the audit comes, the trail shows what was caught, what was reviewed and who approved, which turns a stressful sampling exercise into a walk through a record.

Why continuous beats periodic

Periodic review finds problems after the money has moved. Continuous checking finds them before. That is the difference between prevention and cleanup, and it is why AP monitoring belongs in the flow rather than in a quarterly report. See the agentic AP guide for the wider picture.

Catch AP Errors Before the Payment Run, Not the Audit

Duplicate bills, vendor master changes and out of policy spend should be caught continuously, before payment, not discovered in an audit.

ChatFin runs these checks inside the AP flow and keeps a full trail. Book a demo to see it on your own payables.
